Cold email guide

How do you find the HR email address of a company?

Last updated · 5 min read· By NextKnock Team

Short answer

Start with what the company publishes: the job post, its careers or contact page, and hiring posts by its recruiters on LinkedIn. If you know a person's name and the company's public email format, you can write to their work address. Never buy lists or scrape personal data, and stop if someone asks you not to write.

Finding the right person to write to is half the work of a cold email. The good news: most companies in India want candidates to reach them, and they say how. The methods below use only what companies and recruiters have chosen to make public.

Six ethical ways to find the right address

  1. Check the job post itself

Many Indian job posts, especially on company sites and in LinkedIn hiring posts, say exactly where to send a resume. That address is the best one to use, because the company asked for it.

  2. Look at the careers and contact pages

Open the company's careers page and its contact page. Look for a hiring or careers address, a 'Join us' section, or a note on how to apply when no role is listed.

  3. Find the recruiter or HR person on LinkedIn

On the company's LinkedIn page, open People and search for 'talent acquisition', 'recruiter' or 'HR'. Check recent posts: recruiters often share openings with application instructions.

  4. Work out the company's public email format

If the company publishes any staff addresses (press contact, a blog author, a support lead), they show the format it uses. Combine that format with the recruiter's name only when the pattern is clear and consistent.

  5. Prefer one right address over many guesses

Send to one address you're confident about. Firing emails at five guessed addresses causes bounces, which hurts your Gmail's reputation and can push your future emails into spam.

  6. Keep a simple record

Note the company, role, address and date in a sheet, so you follow up once at the right time and never email the same person twice by mistake.

Common company email formats

Most companies use one format for everyone, built from the person's name and the company's domain (the part after www in its website). Common ones are listed below, using an example person called Asha Rao. Only rely on a format when you've seen the company actually use it.

Typical work-email formats (the part before the @, followed by the company domain)
FormatExample (before the @)
first nameasha
first.lastasha.rao
first initial + last namearao
first name + last initialashar
first_lastasha_rao

Shared inboxes are also common in India: careers, jobs, hr, recruitment or talent, followed by the company domain. A shared careers inbox listed on the website is a perfectly good place to send an application, and often better than a guessed personal address.

What not to do

  • Don't buy HR email lists or 'databases'. They are often outdated, frequently collected without consent, and sending to them looks like spam.
  • Don't scrape personal data from profiles, groups or websites with bots or browser extensions. It can break platform rules and data-protection law.
  • Don't use personal phone numbers or WhatsApp unless the person shared them for applications.
  • Don't guess and blast. Five guessed addresses means four bounces and a hit to your sender reputation.
  • Don't keep writing after a 'no' or a request to stop. Thank them and move on.

India's Digital Personal Data Protection Act, 2023 sets rules on how personal data is collected and used. A single, relevant email to a work address that a company or recruiter has made public for hiring is ordinary professional outreach; building a list of people's personal details is not something a job seeker should do.

How to double-check before you hit send

  • Is the address on the company's own website, in the job post, or in the recruiter's own post? Best case.
  • Does the format match at least one address the company itself has published? Good enough.
  • Is it only a guess? Prefer the careers inbox, or send a LinkedIn note asking where to apply.
  • Is the person still at the company? Check that their profile lists it as their current role.

Once you have the address

Keep the email short and specific: the exact role, who you are, two proofs, one ask. Our step-by-step guide on how to cold email HR and the six templates for freshers cover the wording.

Email to a recruiter you found on LinkedIn

A recruiter at the company shared openings, and you used the address their post or profile gives.

Frequently asked questions

Where can I find HR email addresses of companies in India?

Look at the job post, the company's careers and contact pages, and recent hiring posts by its recruiters on LinkedIn. These are addresses the company has chosen to share for applications, so they are the right ones to use.

Is it legal to email HR directly?

Sending a relevant, one-off job application to a work address that a company or recruiter has made public is normal professional outreach. Don't buy lists, scrape personal data or keep writing after someone asks you to stop.

What if I can't find any email address?

Apply through the careers page and send a short LinkedIn note to a recruiter at the company, asking where to send your resume. A shared careers inbox is also fine when the website lists one.

Should I email the CEO or founder?

At a small startup, yes, founders often hire directly. At a large company, write to HR or the recruiter for the role instead; the CEO's inbox is the wrong place for an application.

Are email-finder tools okay to use?

Be careful. Prefer addresses the company publishes. If a tool guesses an address, treat it as unverified, send to one address only, and never use tools that collect personal data in bulk.
